1. A reference provider who notices that an assignment is having a heavy impact on the Ref Desk, and that certain ref books or documents are in great demand for the assignment, should ask to make a photocopy of the assignment and syllabus, and note the class name and instructor. The photocopies and information should be given to the relevant bibliographer, or to CLICS if the assignment is from a writing course.
2. In the course of contacting and working with a department, a bibliographer may identify ref books or documents, or (less frequently) circulating titles, that should be designated High-Use. The bibliographer should provide a list of these items (or the items themselves, if they are in hand) to the Ref Desk Manager (RDM). The bibliographer should place a copy of the list, the class syllabus and the assignment, and other useful information in a folder with the class name and put the folder in the Class Assignments file at the Ref Desk. If a special sign with the class name or other information is desired for the High-Use area, the bibliographer may create one and give it to the RDM for posting.
There may also be times when no particular class can be identified and no "official" list is forthcoming from the instructor. In this case, the Reference Provider who notices can make a list on the fly or take the books themselves to the RDM. In this case the RDM would create a Class Assignments folder and send a Class Alert email to the Ref Desk email list (see 6 below).
3. The RDM will have the Ref Collection Manager (RCM) put High-Use paper bands around the item(s) indicating the class name and time period of use. The RCM will create dummy blocks for the Ref Stacks indicating the temporary location of these items.
4. The RDM will inform the Documents Collection Manager (DCM) of any government documents needed, and the DCM will band these items and create dummy blocks for them. The DCM will also change the ROGER record of circulating items to "Ask at Reference".
5. The RDM will inform the Day Manager, Circulation of any circulating materials needed for High-Use, and arrangements will be made to change the Pactech record. The RCM will place bands around these books.
6. The bibliographer will send an email to the Ref Desk email list, with the subject heading Class Alert. The email will describe the assignment and list the items placed on High-Use. A copy of the email should be placed in the class folder at the Ref Desk.
7. At the end of the high-use period the RDM will remove all items from the High-Use area. Reference titles will be given to the RCM for removal of the dummy blocks, and Docs titles given to the DCM. Circulating titles will be returned to the Day Manager, Circulation.
8. Circumstances may arise when those normally responsible for processing high-use items are unavailable, and/or the need is immediate and critical. In those cases, the bibliographer or reference provider may choose to do all the processing. Care should be taken that all the procedures are followed and the RDM informed. A supply of High-Use bands will be kept with the other forms in the mail area for use in these circumstances.
