REFERENCE AND NON-REFERENCE CD-ROM POLICY

Reference, Government Documents and EIC CD-ROMs

Reference CD-ROMs are designated for Reference by the subject bibliographer who ordered or evaluated the CD-ROM, in consultation with the SSHL Database Coordinator and the Reference Bibliographer. They are assigned the Roger location code crcd, which displays as, SSH Ref CD-ROM. Where possible and appropriate Reference CD-ROMs will be located on the Reference CD-ROM network, or if not compatible with the network, on specific stand alone workstations in the SSHL reference area. All others will be housed in the CD-ROM cabinet located across from the SSHL reference desk and are only available when the reference desk is open, and are to be used in the EIC when it is open.

Reference CD-ROMs do NOT circulate unless there are exceptional circumstances, and then at the discretion of the reference provider (see page 24 of the Reference Desk Manual). If in doubt, consult with the appropriate subject bibliographer. Before a Reference CD-ROM is lent out, fill out the "UL Library Limited Loan Approval Form" located in the cabinet behind the reference desk.

Frequently used Government Documents CD-ROMs will be housed on the Government Information CD-ROM network on workstations in the SSHL reference area. All others will be housed in the CD-ROM cabinet located across from the SSHL reference desk. They are designated the Roger location code cdcd, which displays as SSH Docs CD-ROM.

The policy that applies to the lending of reference books and CD-ROMs will also apply to the government documents CD-ROMs in that the lending of these materials is only done under extenuating circumstances (see page 24 of the Reference Desk Manual). Before a government documents CD-ROM is lent out, please get approval from one of the Government Documents specialists, then fill out the "UL Library Limited Loan Approval Form" located in the cabinet behind the reference desk.

Non-reference CD-ROMs

There will be two categories of CD-ROMs in addition to those designated as reference and government documents above. Those two categories are circulating and non-circulating (Library Use Only). Both categories will be located behind the Circulation Desk.

If the status is to be Library Use Only, the patron checks out the CD-ROM from the Circulation Desk and uses the CD-ROM in the EIC (Electronic Information Center, adjacent to the Research Services office) during its regular hours. Note: Unless software for the CD-ROM has previously been installed on an EIC workstation, or is self-installing from the CD-ROM, use will require prior arrangement and consultation with either a designated bibliographer or the EIC manager.

If the status is to be circulating, the patron checks out the CD-ROM from the Circulation Desk and may take the CD-ROM home or use the CD-ROM in the EIC during its open hours (and by prior arrangement).

It will be the responsibility of the bibliographer purchasing the CD-ROM to decide on its circulating/non-circulating (Library Use Only) status. This status shall be made at the time of purchase or when the bibliographer reviews his/her materials in the Approval Room. Note: Designating a CD-ROM "Library Use Only" may be done for a variety of reasons including but not limited to the following: cost of item, media format, language, interface, instructional needs, demand. Bibliographers should consider purchasing both Windows and MAC formats if the CD-ROM costs less than $50. Currently, no preference for either format has been determined either by the Library or the bibliographers. All CD-ROMs should be reviewed for correct labeling and accurate records in ROGER.

Access Services staff will be responsible for circulation and check-in procedures. Loan rules for CD-ROMs will be the same as for serials (depends on patron's status). Distinct labeling will be used to identify circulating from Library Use Only CD-ROMs, including a note that they may be used in the EIC by prior arrangement. The default replacement cost of a CD-ROM will be set at $109.00. However items which cost substantially more will be set with a higher replacement cost and this should be noted in the Roger record.

If a CD-ROM accompanies a circulating book, the CD-ROM will automatically be designated as circulating, unless otherwise decided by the bibliographer. If a CD-ROM accompanies a reference book, the SSHL Database Coordinator and/or Reference Bibliographer will determine whether it should remain in Reference or go to Controlled Circulation.
