Information Desk Specialist Traning Home - Opening and Closing Procedures

Opening Procedures

  1.  About two minutes before opening the Information Desk, obtain the Information Desk key from the Circulation Desk.
  2. Unlock the center cabinet drawers and take the telephone out. When the InfoDesk is closed, the telephone line is diverted to a recorded message giving the Desk hours. To return the phone line to the Desk, follow these steps:
  3. Unlock the remaining drawers. Place the following items out for public use:
  4. Check the two computers at the Information Desk to see if they are working properly. Also, make sure the laser printer is on and stocked with printer paper.
  5. Walk through the public area and check for malfunctioning Infostations. If any of the Infostations are malfunctioning, report the problem(s) to Allie Emigh-Carr (4-2490) or Cathy Holdeman (4-6816). If you are working an evening, weekend, or holiday shift, report problem(s) to the Systems Help Desk, x4-2530, place an “Out of Order” sign (signs located in supplies drawer (top right-hand drawer) on the Infostation, and make an entry in the INFORMATION DESK LOG BOOK.
  6. Remove the CLOSED/INFORMATION DESK HOURS sign and place these it on one of the shelves behind the Information Desk.
  7. Take a blank statistics sheet from the file drawer (middle right-hand drawer) and write the date on the top right-hand side of the sheet.
  8. Check the INFORMATION DESK LOG BOOK for any new information.

Closing Procedures

  1. Place the CLOSED/INFORMATION DESK HOURS sign on the Information Desk.
  2. Take the telephone and divert the line to the taped recording of Desk hours by following these steps:
  3. Place the telephone in the top center cabinet drawer along with the statistics sheet, Libraries Telephone Directory and rolodex and lock the drawer. DO NOT UNPLUG THE TELEPHONE.
  4. Place the following items in the supplies drawer (top right-hand drawer):
  5. Walk through the public area and check for any malfunctioning Infostations. If there are any malfunctioning Infostations, report problem(s) as described in item 5 of the Opening Procedures. Also, check for any Information Desk supplies or books that might have been borrowed in the public area.
  6. Lock the remaining open drawers and return key to the Circulation Desk.
