Meeting Summary

The Group welcomed our new member, Roger Smith, Head of Collections Management and Preservation. He came to us from Rutgers University where he was the Assistant Head, Access Services.
New databases, trials, etc :
Rebecca announced a free EBSCO database GreenFILE.

Harold described his work with the CDC Task Force to identify a successor database to EBSCO’s Expanded Academic ASAP. The CDL transition will occur on June 30, 2008 to a EBSCO’s equivalent product Academic Search Complete. As part of the CDL deal, EBSCO has included a number of “free” databases of varying importance and utility for an academic library. Harold distributed the list and offered to create Sage records for MasterFILE Premier and Newspaper Source. Elliot and Adele created a record for Business Source Complete (an upgrade from our current Academic Source Premier. The other databases are EBSCO Animals, Funk & Wagnall’s New World Encyclopedia, GreenFILE, Middle Search Plus, Military & Government Collection,Primary Search, and Regional Business News. At least two of the databases contain information that is juvenile in nature and not appropriate for academic libraries. Since this is an aggregator database, the content is not owned and we should not make format migration decisions based on this content.
Announcements and Updates:
Tony announced that the new Gifts liaison in the Acquisitions Department is Taylor Cornwall who sits in the area where Kim Kane used to be.
Tony reminded the group to spend down the various Special Purchase Proposals endowment funds by the end of May or they will revert back into the collections budget bottom line. If Collection Managers would like to carry these forward, they should talk with Martha. Supplemental funds should be spent out, as well. When we review our fund reports online, endowment funds will appear in a combination of letters and numbers, such as “07g40,” and supplemental funds will appear like “sup54.” Tony also announced that requests for Special Purchase Proposals would be entertained at any time, via Collection Coordinator approval and then to Martha. The Innovative acquisition module is set to cease placing orders on funds that have reach 100%. Collection managers should monitor their funds and cover overexpenditures from other funds they manage. Collection managers should discuss their decisions with Acquisitions staff who will adjust the appropriations. If there are chronic problems, collection managers should discuss funding levels with the appropriate Collection Coordinator. Endowment funds may not be overspent.
Leslie updated us on the Arts Libraries collections moves. The Music scores and books are located in the compact shelving area behind CP/NM and signage is being changed regularly to inform patrons and staff of location changes.
Sam provided highlights of the Collection Coordinators Group meeting on April 2: A Gift procedures review Task Force has been formed to streamline libraries’ internal policy in light of our new gifts policy. Sam and Dan are working with Martha to create a UCSD Libraries-wide collections web page that should be ready for primetime in Fall 2008.
Holly updated the Group on ebooks. Her recent Gobi ebook presentation is posted on the Acquisitions page “For Collection Managers and Library Staff:” http://orpheus.ucsd.edu/acq/ebooks.html
The Ebrary reader does not work on public InfoStations or ACS computers (CLICS) and Holly is working with IT to resolve this. In addition, staff computers are so locked down that we are unable to view Ebrary titles or preview these via YBP’s Gobi3. Ebrary’s new Java-based reader should be ready for deployment in Fall 2008. Adele has agreed to serve as the Ebrary resource monitor and lead discussion of the Infotool customization and site branding, and is meeting with Harold, Rob, Holly, and Marie to discuss issues surrounding Ebrary, the Duke ebook package, and related topics. The Duke ebook package has been activated but we lack the reader.
Harold observed that there are often more NetLibrary titles available than Ebrary titles. An IR/PS sample search of 120 repeat reserves titles, for which we were paying copyright clearance charges, revealed 10 NetLibrary titles. A Task Force is examining the potential of NetLibrary and is investigating current interface and access issues.
Discussion of new possibilities for creating collection transfer/weeding lists :
Ryan described the previous time-consuming process for checking lists, title-by-title against UCLA’s catalog to determine if items were deposited at SRLF. Now that SRLF has applied their OCLC holdings symbol (ZAS) to their records, we are able to use the OCLC Connexion software to search UCSD holdings against SRLF and UCLA. In this way we are able to generate lists of UCSD duplicates that we can quickly review before withdrawing them. This is helping us tremendously with the 7 th Floor overcrowding problem.
Sam outlined a scenario whereby we could run a UCSD duplicate list against SRLF and UCLA by broad classification for titles published ten or more years ago and with no circulation for the last ten years.
Over the next year, the UCSD libraries need to weed the Annex collections and SSHL will begin aggressive weeding on the 6 th Floor. We have many new subject specialists who will need to learn about the weeding process and how to think creatively about using the new list capabilities for generating withdraw lists.
Future agenda building :
June: Tony will lead a discussion of SFX generated A-Z lists of electronic journals and some e-monographs.
August: Tony will give a presentation on CDL expenditures as a significant part of our continuations budget.
