Announcements

  1. Special purchase requests are due by April 17, Phyllis encouraged submission of requests.
  2. Sam has negotiated with SRLF to deposit an additional 12,000 monographs over the next three months. This brings UCSD's total deposits for FY 2001-02 to 24,000 volumes. The processing of these materials, which will resolve the irretrievable backlog, has been funded by UCOP.
  3. Jackie said that the report on the Ph.D. in education states that the department has been in contact with the library. She asked anyone who has been working with them to step forward (no one did).

Updates:

  1. Xipolis collection of full-text reference resources: The individual titles have still not been cataloged.
  2. The Annex “A” mono boolean lists are staged for review until the end of April in the Approval Room.One-half of the records are for volumes of encyclopedias.Elliot asked if we needed a policy on which should be kept and the group decided the superseded reference book policy should suffice.Amy will check sources to see if any of the titles have been highlighted as important resources to retain.
  3. Sam distributed statistics on the Annex Weeding Project and our progress, to date. We have completed review of around 21% of the Annex collection.

SSH Stacks Pilot Weeding Project and Collection Inventory

Sam distributed copies of a proposed workflow for monographs in the PT call number area.A new component, an inventory of the items remaining after the collection has been weeded, has been added to the Project.Funding will be requested that would allow for the Project to begin late in FY 2002-03.

Discussion of the Gift Policy with Phyllis Mirsky

Phyllis prefaced her remarks with the fact that the issue of gift collections must be considered separately from space issues. We accept all collections offered by faculty members as a service to them, with the proviso that no strings are attached. If a faculty member brings a collection to our attention, we review it carefully and add it, if appropriate, and if no strings are attached. We are never involved in the valuation of collections.Bibliographers are the point people in determining whether we want a collection in the library.Christine Peters is the contact person in the Acquisitions Department who handles all issues related to the acquisition and processing of gift collections. There was general discussion of issues related to the consideration of gift collections, including checking for duplication (made easier by the availability of wireless technology), library support for the bibliographer’s reviewing the collection on site before a decision is made, and the discussion with the donor of our policy of distributing duplicated material to other libraries.
