ANNOUNCEMENTS

-This is R. Coates' last meeting with this group since she will be retiring on September 29.

-K. Creely noted that a new acquisition has been arriving, box by box, from Australia. It is the papers of noted anthropologist Derek Freeman. The papers will be housed in Mandeville Special Collections.

-J. Page announced that the binding budget is healthier recently, so more English-language materials will be bound that had previously been shelved unbound. Also, a few documents and reference titles were sent out for deacidification.

-S. Dunlap reminded the group of the good book budget news: 5% increases across the board, plus extra percentages for those who proposed additional increases.

DISCUSSION ITEMS

1. High-Use Items

A. Perez was hoping to use this meeting as a way to distribute the high-use item policy to bibliographers who don't work at the SSHL Reference Desk, but there were none present.

2. Patron E-Mail Suggestions

S. Dunlap distributed a short list of titles suggested electronically, which he had received from Lydia. He will forward each title to the appropriate bibliographer.

3. Keesings Record of World Events Database

E. Kanter distributed a printout of the search screen for this database which we've had on trial for a few weeks. He asked for the group's endorsement for his proposal to request digital resources funds to purchase the database for $5500/year. It was requested by a poli sci faculty member, but will also be very useful for undergraduates, and other students in poli sci, economics, history, etc. The database covers the time period 1960-2000. The group endorsed the proposal and agreed to canceling the SSHL and IRPS print subscriptions. That matter will also be discussed at an RDG meeting.

4. UGL Update/CD-ROMs, etc.

S. Dunlap said that the final push to get the UGL books weeded and transferred is coming along well. The science librarians are working from boolean search lists. There are still big sections left in sociology and political science. S. Dunlap suggested we all work together to help finish this project by the end of the month.

He also brought to the group's attention the color-coded lists he has of UGL CD-ROMs. His suggestion regarding these items was to wait and see whats left after all the withdrawals are done, since some of them are component parts to books which will be weeded.

What is left of the UGL reference collection is at the annex. Those who are interested can go with A. Perez and S. Dunlap to make decisions about those titles.

5. Next Major Weeding Project

Over the next couple years the annex needs to be weeded in order to prepare for the BML construction which is planned for FY 2002/2003. There is quite a backlog of materials because of the delays caused by ORION2 at SRLF. Even now that ORION2 is working, they can only process materials at half the speed as in the past.

The annex is not going away, but superseded items and duplicates of items already held at SRLF need to be withdrawn. Approximately 175,000 volumes need to be taken out so that BML can add about 70,000 and get their collections all together at the annex in call number order, instead of in separate sections.

The other weeding news is that SSHL is predicted to reach its maximum capacity in two years, so S. Dunlap anticipates having to weed the SSHL stacks in the near future, probably withdrawing approximately 40,000 volumes and transferring about that same amount to SRLF. He hopes we will be starting to send things to SRLF soon.

In the mean time, bibliographers should ask Ryan for lists of journal titles held at the annex and SRLF in their subject areas.
